Business support for trades

Remote admin support for trades businesses across Scotland.

When the tools are away, the working day should not have to continue at the kitchen table. Dragonfly helps trades and field-based businesses keep enquiries, diaries, customer communication and invoices moving through reliable monthly support.

Practical support

Keep the office side moving while you do the work customers booked you for.

The support is adapted to the way your business operates. It can focus on one recurring pressure or bring related tasks together so fewer enquiries, appointments and invoices fall through the gaps.

01

Enquiries and quotations

Acknowledge new enquiries, gather agreed information and follow up quotations that might otherwise be forgotten during a busy week.

02

Job diary support

Coordinate appointments, confirmations and schedule changes, helping the diary stay realistic and customers stay informed.

03

Customer communication

Respond to routine messages, provide agreed updates and make sure questions reach the right person when a decision is needed.

04

Invoices and payments

Prepare agreed invoice information, send statements or reminders and keep overdue-payment follow-up moving consistently.

05

Business paperwork

Organise customer records, supplier information, recruitment administration and the recurring paperwork that supports daily operations.

06

Social media support

Turn updates, photographs and useful advice from the business into planned posts across the social channels you use.

How it works

Support that works around the real business day.

You do not need to hand over everything at once. We begin with the tasks that interrupt jobs, delay customers or keep you working long after you should have finished.

  1. Find the pressure pointIdentify the recurring task that is costing time, delaying work or affecting customer service and cash flow.
  2. Agree the handoverSet clear instructions, access, priorities, working hours and the matters that must come back to you.
  3. Build a routineUse the reserved monthly hours for regular follow-up rather than waiting for the backlog to become urgent.
  4. Review what is workingUse progress updates to adjust priorities as workloads, seasons and business needs change.

Built around your business

Keep the systems you already use.

Dragonfly can work within the tools your business already relies on where this is necessary for the agreed work. That may include your email, shared calendar, CRM, job-management platform, accounting package or social scheduling system.

Transparent monthly pricing

Reserve the level of support your business needs.

Every retainer is paid monthly in advance and includes a clear allowance of reserved support hours. Your written proposal confirms the priorities, boundaries and working rhythm before work begins.

Questions about this support

Useful things to know before we speak.

Do you only support construction businesses?

No. This support can suit workshops, repair businesses, property and maintenance services, installers and other field-based teams where the person doing the work is also expected to manage the office tasks.

Can you speak to customers for me?

Customer messages, follow-ups and agreed call-handling arrangements can be included within the scope and available hours. We agree what Kerry may answer, what needs your input and how urgent issues should be escalated.

Can you work with our current job and accounts systems?

Yes. Where an agreed task requires it, Kerry can work within your existing diary, email, CRM, job-management or accounting system using only the access needed for that work.

What if something needs done outside normal working hours?

Standard working hours are Monday to Friday, 9am to 5pm UK time. Work outside these hours must be agreed in writing beforehand and is charged at £45 per started hour, with a minimum charge of £45.

A sensible place to begin

Which task keeps being pushed to tomorrow?

Tell Kerry what is taking too much time or affecting the smooth running of your business. You will receive a clear recommendation for a suitable monthly retainer.
