Information we may collect

Depending on how you contact or work with us, this may include:

  • your name, job title, business name and contact details;
  • the information you include in an enquiry or correspondence;
  • details needed to prepare a proposal, provide agreed services, raise invoices and manage the working relationship;
  • records of communications, instructions, meetings and completed work; and
  • limited technical information processed by the website host for security, access control and reliable delivery.

The enquiry form on this website prepares an email in your own email application. It does not submit your details to, or store them on, the website.

Why we use personal information

We use information to respond to enquiries, prepare proposals, provide and administer contracted services, communicate with clients and suppliers, maintain records, invoice and collect payment, protect business systems, and meet legal or regulatory obligations.

Our lawful bases will normally be:

  • contract: to take requested steps before entering a contract and to perform an agreed service;
  • legitimate interests: to run and protect the business, manage professional relationships and respond to business enquiries where those interests are not overridden by your rights;
  • legal obligation: where records or disclosures are required by law; and
  • consent: where consent is required, including for particular types of electronic marketing. You may withdraw consent at any time.

Use of AI-assisted tools

Dragonfly Business Support may use approved AI-assisted tools for limited support activities such as structuring notes, preparing first drafts, organising research or developing content ideas. AI output is reviewed by a person before it is relied upon or delivered.

Personal or confidential client information will not be entered into an AI tool unless this is necessary for the agreed task, permitted by the client’s instructions and covered by appropriate data-protection and confidentiality safeguards. Information is minimised and identifying details are removed where practicable.

Dragonfly Business Support does not use AI to make solely automated decisions about people that have legal or similarly significant effects.

Who we may share information with

We do not sell personal information. Information may be shared only where necessary with trusted providers supporting website hosting, email, IT security, customer management, accounting, approved AI-assisted tools or professional advice; with a client where work is completed on their behalf; or with public authorities where the law requires it.

International transfers and security

Some technology providers may process information outside the UK. Where this happens, we use providers and safeguards designed to protect information in accordance with UK data protection law.

Reasonable technical and organisational measures are used to protect information, including restricted access, separate client workspaces, device security, antivirus protection, secure passwords and a VPN. No system can be guaranteed completely secure.

How long we keep information

Unsuccessful enquiry records are normally kept for up to 12 months after the last meaningful contact. Client and supplier records are kept for the duration of the relationship and afterwards for as long as reasonably necessary to meet contractual, tax, accounting, insurance or legal requirements. Information is then securely deleted or anonymised.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your information; object to certain processing; receive information in a portable form; or withdraw consent. These rights can be subject to legal exceptions.

To exercise a right, email kerry@dragonflybusinesssupport.co.uk. You may also complain to the Information Commissioner’s Office.

Changes to this notice

This notice will be reviewed when services, systems or legal requirements change. The latest version will remain available on this page.
